### 🧾**Overview**

In this session, we’ll explore the **practical use of Account Groups** in **billing** and **reporting** within **Logic ERP**. While we've already learned how to create Account Groups, this tutorial focuses on **how they function in real business scenarios**—specifically how they can:

* 🚫 Control billing based on overdue amounts.
* 📊 Provide structured, insightful financial reporting.

### 🧩**Part 1: Using Account Groups in Billing**

#### 🔒**Scenario: Locking Billing for Overdue Accounts**

Account groups can be configured to restrict billing for accounts with overdue balances. This is especially useful for maintaining credit discipline and reducing outstanding receivables💰.

🧪**Example: Sector One (Billing Locked for Overdue Accounts)**

1. 📍**Selecting the Group**
 * Navigate to the billing interface.
 * Choose **Sector One** from the list of account groups.
 * Accounts associated with Sector One will now appear in the **Account Name** search list.
2. 👤**Selecting the Customer**
 * Select a customer from the list to create a sale bill.
 * Upon selection, an **error message**❗ is displayed, preventing the billing process.
3. 🧠**Understanding the Error**
 * The error occurs because billing is **locked for accounts with overdue balances** in Sector One.
 * To investigate further, select the customer and either click **“Zoom to Dues”** or press **F4** to view the **Dues Report**.
4. 📄**Reviewing the Dues Report**
 * The report shows that the customer has a bill overdue by more than **15 days**⏳.
 * Additionally, the **opening balance** is also overdue.
 * ➤ **Result**: Billing for this customer is blocked as per the group’s configuration.

This feature ensures that no new sales transactions are initiated for accounts that have not cleared their previous dues—helping businesses minimize credit risk⚠️.

#### ✅**Scenario: Allowing Billing for Overdue Accounts**

Let’s examine a contrasting scenario where the system allows billing despite overdue balances, due to group configuration.

🧪**Example: Sector Ten (Billing Not Locked)**

1. 📍**Selecting the Group**
 * This time, select **Sector Ten** from the account group dropdown.
 * The corresponding accounts are listed under Account Name.
2. 👤**Choosing a Customer**
 * Pick an account to generate a sale bill.
 * The **opening balance is overdue by more than 60 days**⏳.
3. 🧾**System Behavior**
 * Since **Sector Ten does not have billing restrictions** for overdue accounts, the system allows the sale bill to be created.
 * ➤ **Result**: The sale bill is successfully saved✅.

This setup is useful when certain groups or sectors operate on flexible credit terms or when exceptions🧷 are allowed.

### 📈**Part 2: Using Account Groups in Reporting**

Beyond billing, account groups also enhance reporting by offering categorized, hierarchical data views📊.

#### **1.** 📒**Ledger Report**

The **Ledger** is a core financial report that provides transaction history and balances for each account.

🛠️**Using Account Groups in the Ledger:**

* Open the **Ledger Report** by expanding the **Financial reports** section under the **report/queries** option in the **main menu** of the software.
* On the right panel, locate and click the **Account Group** filter.
* Choose the **grouping type** and **level** relevant to your analysis.
* Generate the report.
 * ➤ **Result**: Only accounts that belong to the selected group(s)🎯 will be shown in the report.

This enables more focused financial reviews—useful for departmental reviews, regional performance assessments, or credit control.

#### **2.** 📋**Dues Report**

The **Dues Report** displays overdue invoices, how long they’ve been outstanding, and by how many days.

🛠️**Configuring the Dues Report:**

* Navigate to the **Dues/Ageing analysis** option under **Financial reports** section in the menu.
* Use the **Account Group filter** to narrow down the accounts shown in the report.
* Press **F5** to open the **report configuration**.
* 🔄Uncheck the option **“Show Current Dues Only”** if you want to include past-due balances in the report.

The report can also sort and group accounts based on the structure defined during account group setup, giving you a clear view of overdue trends across business units📉.

#### **3.** 🧾**Extra Party Groups in Reports**

Some advanced reports support an additional classification layer called **Extra Party Groups**, which functions similarly to Account Groups🧬.

🛠️**Using Extra Party Groups:**

1. Navigate to the **Dues/Ageing analysis-New** option under **Financial reports** section in the menu.
2. In the configuration section of supported reports:
 * Choose **Extra Party Groups** as a filter.
 * You can select **multiple levels** (e.g., Region🗺️ > Division🏢 > Zone🧭) to display layered groupings in one report.
3. To display these in the report:
 * Ensure that the **Extra Party Groups** column is enabled in the **column attributes**.

This multi-level grouping allows you to view data at a more granular level🔍, ideal for organizations with complex account hierarchies.

### 📌**Summary and Best Practices**

✔️**Account Groups** help enforce billing discipline by allowing or restricting billing based on dues status.

✔️They simplify navigation during billing by narrowing down account lists by category or department.

✔️In reporting, they enable **targeted analysis** by filtering and grouping financial data.

✔️Using **Extra Party Groups**, organizations can implement deeper hierarchies and display multiple group levels in one view.

✔️Always align your group configurations with business policies (e.g., credit terms, regional segmentation).

🧠Start using **Account Groups** smartly to take control of your billing 💳 and reporting 📊—and unlock deeper insights for smarter business decisions! 🚀
