# Best Buy - Supplier Wise Rate Comparison

Logic ERP has rebuilt the **Best Buy - Supplier Wise Rate Comparison**. The report now compares the rates of every supplier for an item across purchase bills, purchase orders and supplier quotations, ranks them, and highlights the best offer. New options show one line per supplier, a supplier summary, and branch-wise or branch-group-wise ranking.

***

### **Step 1: Open the Report**

* Navigate to **Reports/Queries** and select **Purchase Reports**.
* Open the **Best Buy - Supplier Wise Rate Comparison**.
* The report uses a new configuration. Configurations saved for the old report do not carry over, so create a new one. A new configuration starts with **Show** set to **Lowest Per Supplier**, with **Include Purchase Bills**, **Include Purchase Orders**, **Include Supplier Quotations**, **Pending Orders Only** and **Open Quotations Only** ticked, and items broken down by **Item Name** and **Pack / Size**.

***

### **Step 2: Choose what to compare**

* Go to **Configuration > Report Options**.
* Tick the sources to include: **Include Purchase Bills**, **Include Purchase Orders**, **Include Supplier Quotations** and **Include Supplier-Item Link Rates**. Cancelled orders and cancelled order lines are never included. Lines with a zero rate are left out.
* **Pending Orders Only**: an order line is included only while some of it is still pending. A fulfilled order already appears as its purchase bill.
* **Open Quotations Only**: a quotation is included only while no purchase order has been placed against it.
* **Exclude Expired Quotations**: when ticked, only quotations still valid on the report end date are included. Leave it off for a past period.
* **Compare On** sets the rate every offer is ranked on:
  * **Basic Rate**: the line rate of the bill, order or quotation.
  * **Landed Rate (as stored on lot)**: the landed rate held on the lot of the purchase.
  * **Landed Rate (UD Net Amount / Qty)**: the bill amount made up of the components chosen in **UD Net Amount (Landed Rate)**, divided by the quantity.
* The two landed rates exist only for purchase bills. Orders, quotations and link rates then show their basic rate and are listed without a rank, unless **Rank Orders & Quotations At Basic Rate** is ticked.
* **Offer Grain**: **Document Line** treats every line as an offer. **Document** combines the lines of one document for one item into a single offer at their quantity-weighted rate.
* **Adjust Rates By** (**None**, **Add %**, **Less %**) with **Adjust Rates Percent** adds or deducts a percentage from every compared rate before ranking.
* **Lot Reference Rate Column** shows one lot rate (for example **Purchase Rate**, **Sale Rate** or **M.R.P.**) in the **LOT REF RATE** column of purchase bill rows, for reference only. It is not used in the ranking.

***

### **Step 3: Choose how to show the offers**

* Go to **Configuration > Report Options > Show** and choose:
  * **All Offers**: every rate found, with each supplier's rows kept together.
  * **Best Per Item**: only the best offer of each item. Suppliers with the same best rate all show.
  * **Best And Worst Per Item**: the best and the highest offer of each item.
  * **Lowest Per Supplier**: one line per supplier, with its lowest rate.
  * **Latest Per Supplier**: one line per supplier, with its most recent rate.
  * **Supplier Summary**: one line per supplier with its lowest, highest, weighted average and latest rate, the spread and the quantities.
* **Branch Consolidation**:
  * **None**: the branch shows as a column and each item is ranked across the company.
  * **Branch**: offers are grouped under the buying branch and ranked within it.
  * **Branch Group**: offers are grouped and ranked within the **Extra Branch Groups** chosen under **Configuration > Extra Group Options**.
* **Show Data For Current Branch Only** limits the report to documents of the branch you are logged into. Supplier-item link rates are not tied to a branch, so they still show.
* **Configuration > Item Consolidation** sets how items are broken down (pack or size, item name, item name without shade, company, group, shade, item code) and in what order.
* The report can be filtered by **Branch**, party, item, sale order, extra item groups, extra party groups and extra branch groups.

***

### **Step 4: Read the report**

* The best offer of each item prints in bold, dark green on a pale green background. In **Best Per Item** every row is a best offer, so no row is highlighted.
* **SOURCE** shows where the rate came from: **BILL**, **ORDER**, **QUOTATION** or **LINK**.
* **DOCUMENT NO.** shows the GRN number for a purchase bill, and the voucher number for an order or a quotation. **VOUCHER NO.** shows the voucher number, and **SUPPLIER BILL NO.** the supplier's bill number.
* **RANK**, **BEST RATE**, **DIFF FROM BEST**, **DIFF %** and **SAVINGS POTENTIAL** compare each offer with the best one. They stay blank on an order or quotation that is listed without a rank.
* Other columns include **COMPARE RATE**, **RATE BASIS**, **BASIC RATE**, **LOT LANDED RATE**, **UD LANDED RATE**, **LINE DISCOUNT**, **VALID TILL**, **CURRENCY**, **SUPPLIER QTY SHARE %**, **NO. OF BILLS**, **LAST PURCHASE DATE**, **HIGHEST RATE**, **WTD AVG RATE**, **LATEST RATE**, **SPREAD %**, **NO. OF OFFERS**, **SUPPLIER TOTAL QTY**, **LOT NUMBER**, **CF-1** to **CF-3**, **CF-1 DESC** to **CF-3 DESC** and **PACKING**.
* Columns with no value in the whole report are hidden automatically.
* Offers in different currencies are ranked separately.
* The **Create DBF** button of the old report is no longer available.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-version-release-notes/october-2026/reports-queries/purchase-reports/best-buy-supplier-wise-rate-comparison.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
