# Pick External Bill Number

## How to Pick the Bill Number from the External File in Import Sale Configuration?

In this tutorial, we will learn how to use the **"Pick External Bill Number"** option while importing Sale Bills from an external file in Logic ERP.

This option allows the system to use the **Bill Number provided in the external file** instead of automatically assigning the next available Bill Number from the selected Bill Series.

***

### Access to the Import Configuration

* Navigate to the **Import Sale Bills from External File** module.
* Open the **Configuration** window.
* Locate the option labeled as:

> **"Pick External Bill Number"**

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FuWJclwQTnmo0CaNLFG2O%2FDefault.png?alt=media&amp;token=76af7ab5-507b-4f0b-bd36-39ea374f17d8" alt=""><figcaption></figcaption></figure>

Before enabling this option, let's first understand its default behavior.

***

### Check the Next Available Bill Number

Let's first verify the next available Bill Number for the selected Bill Series.

* Open the **Sale Bill** module.
* Check the next available Bill Number for the relevant Bill Series.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FFM7jaLpRANglTeNhQbFB%2FDefault%20-%20Bill%20Number.png?alt=media&amp;token=c861c674-fe7b-4eda-8f40-185303d0ce81" alt=""><figcaption></figcaption></figure>

#### Current Setup

* As you can see, the next available Bill Number for this Bill Series is **R-129**.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FYJ7WrVNRWtMelIcNMLxt%2FDefault%20-%20Bill%20Number.png?alt=media&amp;token=cdca8391-47d7-4d7c-ac3f-0dbebd5f0071" alt=""><figcaption></figcaption></figure>

* Now, let's review the external Excel file that we are going to import.
* As you can see, the file contains the following Bill Numbers:
  * **R-500**
  * **R-501**
  * **R-502**

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FC3FmGEEuQU7rq6w61Rfb%2FXls.png?alt=media&amp;token=ba3fba6d-bbbc-45bb-b3ba-cf6474d59112" alt=""><figcaption></figcaption></figure>

Let's see how the system handles these Bill Numbers when the option is disabled.

***

### Import with Pick External Bill Number Disabled

* Return to the **Import Sale Bills from External File** module.
* Keep **"Pick External Bill Number"** disabled.
* Import the Sale Bill Excel file.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FGsysevwW3aJbBNukKbgV%2FSave%201.png?alt=media&amp;token=a740c0f3-9a9e-42cb-8c41-8ea14e4aeeb4" alt=""><figcaption></figcaption></figure>

#### System Behavior

* The Sale Bills have been imported successfully.
* Let's verify the imported documents in the **Sale Bill** module.
* As you can see, the system has **not picked the Bill Numbers from the external file**.
* Instead, it has assigned the **next available Bill Numbers from the selected Bill Series**.
* This means that the Bill Numbers **500, 501 and 502** provided in the Excel file are not used.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FqO2b0rdyBTuZg7PoBfGU%2FExist.png?alt=media&amp;token=16ac3956-ef13-431b-a103-f1ccd5ffc1b6" alt=""><figcaption></figcaption></figure>

***

### Let's Enable Pick External Bill Number

Now, let's enable the option and observe the difference.

* Return to the **Configuration** window.
* Enable **"Pick External Bill Number"**.
* Save the configuration changes.
* Import the **same Excel file** again.

***

### Verify the Imported Bill Numbers

Now, let's verify the imported Sale Bills in the **Sale Bill** module.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FaymxW3cF9sJZ7kUcggQl%2FEnable.png?alt=media&amp;token=8285f3c6-aa6d-4c5b-86a2-912838aa481f" alt=""><figcaption></figcaption></figure>

**System Behavior**

* As you can see, the system has successfully picked the Bill Numbers **9546 and 9547** directly from the external file.
* Instead of assigning new Bill Numbers from the selected Bill Series, Logic ERP has used the Bill Numbers provided in the imported file.

***

### Configuration Summary

| Configuration                            | System Behavior                                                             |
| ---------------------------------------- | --------------------------------------------------------------------------- |
| **Pick External Bill Number – Disabled** | System assigns the next available Bill Number from the selected Bill Series |
| **Pick External Bill Number – Enabled** | System uses the Bill Number provided in the external file |

***

### Final Outcome

By enabling **"Pick External Bill Number"**, Logic ERP allows the Bill Number specified in the external file to be used during the Sale Bill import process. This is useful when you need to retain the original Bill Numbers from an external system or source file.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-learning-hub-tutorials-and-best-practices/utilities/import-masters-transactions-from-external-files/import-sale-bills-from-external-file/import-sale-bills-from-external-file-configuration/pick-external-bill-number.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
