## How to Disable Item Creation in Import PUV from External File Configuration?

In this tutorial, we will explore the **Do Not Create Items** option while importing a purchase voucher from an external file in Logic ERP.

This option allows you to control whether new items should be created automatically during the import process. When enabled, the system will only consider items that already exist in the **Item Master**.

***

### Open Import Purchase Vouchers from External File

**Import Purchase Vouchers from External File → Configuration**

* Open the **Import Purchase Vouchers from External File** module.
* Click on the **Configuration** option.
* Locate and enable the option labeled as:

> **"Do Not Create Items"**

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FLzpCUqJ8DnAxVpBGSfXu%2FCNF%203.png?alt=media&amp;token=9e2971ca-5f85-41c9-bea7-5943b09dbe86" alt=""><figcaption></figcaption></figure>

* Save the configuration.

***

### Verify Items in the Excel File

Before importing the purchase voucher, let's check the Excel file containing the purchase voucher details.

* The top three items in the Excel sheet are new items.
* These items are not currently available in the **Item Master**.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FjsGtqU2hg8HbHo3QjYjw%2Fxls.png?alt=media&amp;token=8333b6a4-3fe0-4720-8305-038cc05f3c3f" alt=""><figcaption></figcaption></figure>

* Search for each item in the Item Master to verify their availability.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FYGGAnROaDs0TpMqiGp8n%2FItem%20Name.png?alt=media&amp;token=35179039-7f1f-4e9b-95ef-ff2dadbc57da" alt=""><figcaption></figcaption></figure>

#### Current Setup

* As you can see, none of these three items are available in the Item Master.
* Therefore, these items will be treated as invalid during the import process.

***

### Import the Purchase Voucher

Return to the **Import Purchase Vouchers from External File** module and proceed with the import process.

#### Invalid Document Status

* In the **Header Details** section, the **Invalid Doc** column displays **Yes**.
* This indicates that the document contains one or more invalid items.

#### Check Invalid Item Details

* Open the **Invalid Item Details** tab.
* Here, you can see all three new items listed as invalid.
* The **Invalid Remarks** column displays the reason:

> **Item Not Found in Database**.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FsuIwEKH2mlEoAqvoM7Tt%2FInvalid%20Item.png?alt=media&amp;token=5a0e0584-03eb-4a72-a2f8-a6dd3c7ff55d" alt=""><figcaption></figcaption></figure>

#### System Behavior

Since **Do Not Create Items** is enabled:

* The system does not create the missing items automatically.
* Items that are not available in the Item Master are marked as invalid.
* The purchase document cannot be imported until all items are valid.

***

### Allow New Items to Be Created

Now, let's see what happens when the **Do Not Create Items** option is disabled.

* Return to the **Configuration** option.
* Disable **Do Not Create Items**.
* Save the configuration.

***

### Import the Purchase Voucher Again

Import the same purchase voucher once again.

#### Valid Document Status

* In the **Header Details** section, the **Invalid Doc** column now displays **No**.
* This indicates that the document contains no invalid items and is ready for import.
* The three previously invalid items are now displayed in the **Valid Item Details** tab.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FPq5K826BACYVEq5Jajx6%2Fvalid.png?alt=media&amp;token=e09f35dd-03fa-4bad-91de-cca0ff37a8e6" alt=""><figcaption></figcaption></figure>

#### Import the Document

* Proceed with importing the purchase document.
* Once the import is completed, open the **Purchase Voucher** module.

***

### Verify the Imported Purchase Voucher

* The imported purchase document is now successfully available in the **Purchase Voucher** module.
* The three new items are also displayed in the imported purchase voucher.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FM8weyiC9NXcPSlYoJVQw%2FPV.png?alt=media&amp;token=a933dca9-e37f-4e36-958f-8f778158f385" alt=""><figcaption></figcaption></figure>

#### Verify Items in Item Master

* Open the **Item Master**.
* Search for the three newly imported items.
* As you can see, all three items have been successfully created and are now available in the Item Master.

<figure><img src="https://4031188996-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FXMVkjt8zqHBQX1c9QvFS%2Fuploads%2FvxCXnuNLKNIlBZhcqTxV%2FItem%20Master.png?alt=media&amp;token=a6d57d94-f319-40a5-8222-0a4cac90f8f7" alt=""><figcaption></figcaption></figure>

***

### Key Benefits

* Prevents unwanted item creation during import.
* Ensures only existing Item Master items are imported when the option is enabled.
* Helps identify invalid or missing items before importing the document.
* Provides flexibility to automatically create new items when required.

#### Final Outcome

The **Do Not Create Items** option provides control over item creation during purchase voucher imports. When enabled, missing items are marked as invalid and are not created automatically. When disabled, new items can be created automatically during the import process.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-learning-hub-tutorials-and-best-practices/utilities/import-masters-transactions-from-external-files/import-purchase-vouchers-from-external-file/import-purchase-vouchers-configuration/do-not-create-items.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
