# Setup Designations

**Available on:** Desktop · Web · Phone

Navigate to **Payroll Setups** and click on "Setup Designations".

**Setup Designations** is the list of designations used in the organisation structure — *Store Manager*, *Sales Executive* and so on. Employees are given a designation on [Assign Employees to Org](/logic-erp-learning-hub-tutorials-and-best-practices/payroll/payroll-setups/assign-employees-to-org.md).

## The columns

| Column          | What to enter                                                                                                                                                                                                                                                                                |
| --------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| **Designation** | The designation's name, in capitals. Two designations cannot have the same name (capitals and spaces are ignored). |
| **Level** | Its seniority: **1** = most senior, higher numbers more junior, **0** = not graded (shown blank). Levels run from 0 to 99. The list is sorted by level, then name, with ungraded designations first. The level is kept for reference; nothing else uses it. |
| **Inactive** | Tick for a designation no longer given to anyone. Employees who already hold it keep it, but it is not offered on Assign Employees to Org. |
| **Remarks**     | An optional note.                                                                                                                                                                                                                                                                            |
| **Employees** | Filled in by the screen: how many employees are placed in the designation on [Assign Employees to Org](/logic-erp-learning-hub-tutorials-and-best-practices/payroll/payroll-setups/assign-employees-to-org.md). It is blank for none, and counted again when the screen opens or after Save. |

## Set up the designations

### **Step 1: Bring in the existing ones**

* Press **Add From Employee Designations**. The designations already typed on the records of working employees, and not in the list yet, are added as new lines at level 0. The line under the grid says how many were added.
* They are not saved yet: tidy them first — correct the spelling, delete duplicates, set each **Level**.

### **Step 2: Add or change designations**

* Type a new designation on the blank last line, with its **Level**, and press **Enter** to the end of the line (or move to another line).

### **Step 3: Save**

* Press **Save** and confirm. The line under the grid shows *Saved.*

The screen closes without asking if changes are not saved, so save first.

> **Example —** Employee records hold *SALES EXEC*, *SALES EXECUTIVE* and *STORE MANAGER*. After **Add From Employee Designations**, HR deletes *SALES EXEC*, keeps *SALES EXECUTIVE* at level 5 and sets *STORE MANAGER* to level 2, then saves.

## Deleting

* Delete a line and answer **Yes** to *Confirm Deletion*; it goes when you **Save**.
* A designation that employees are placed in cannot be deleted: change their designation on [Assign Employees to Org](/logic-erp-learning-hub-tutorials-and-best-practices/payroll/payroll-setups/assign-employees-to-org.md) first, or tick **Inactive**.

The same screen is on the web, and works on a phone: **Add From Employee Designations** sits full width above the grid.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-learning-hub-tutorials-and-best-practices/payroll/payroll-setups/setup-designations.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
