# Getting Started

**Available on:** Desktop · Web · Phone

Before the first appointment can be booked, Logic ERP needs to know **who your stylists are, what services they do, how long each service takes them, and when the branch is open**. This page takes you through that setup once, in the order that works. Most of it is done only once; after that you only come back here when you add a stylist or a service.

> Throughout this guide, *stylist* means whoever carries out the service — a hair stylist, therapist, beautician or doctor. If your business uses another word, set it as the **Agent Caption** in Settings, and the Appointment Manager's screens use your word in their headings and buttons.

## Step 1 — Your stylists

Each stylist is set up as an **agent**. Navigate to **Setup\Setup Accounts\Setup Agents** and click on "Setup Agents/Brokers".

* Create one agent for each stylist.
* To set rates or times for several stylists at once — for example all *Senior Stylists* — group them with **Setup Agent Groups**, in the same menu.

## Step 2 — Your services

Services are set up as **items** in the item master, under item groups — for example a group *Hair Care* holding *Haircut*, *Hair Spa* and *Hair Colour*. Mark each one as a **service** item (its item nature); only service items can be booked.

The item groups become the **Service Groups** you pick from when booking. Which group level is shown is chosen with **Service Group Level** in Settings.

## Step 3 — Who does what, for how long, and when you are open

Navigate to **Setup\Setup Accounts\Setup Agents** and click on "Setup Agent + Service / Appointment Details". This one screen has four tabs — see [Setup Agent + Service / Appointment Details](/logic-erp-learning-hub-tutorials-and-best-practices/setups/setup-accounts/setup-agents/setup-agent-+-service-appointment-details.md) for every detail.

### **Define Service Stages**

A service can be made up of **stages** — for example a hair colour is *Application*, *Waiting* and *Wash & Dry*. Pick the service, list its stages, and the screen shows the **Total Time** for a male and a female client. **Auto Create Stages** adds one stage, named after the service and its pack, to every service that has none — enter its time afterwards.

### **Stylist + Service Wise Rate + Time Slabs** and **Stylist + Service Wise Time Slabs**

For each stylist (or stylist group) and service, set **how long the stylist takes** — click the **TIME** cell and enter the minutes for each stage in the **Service Stages** window; the time is their total. **This time is the length of the booking.** On the Rate tab you can also enter the stylist's **rate**.

**A stylist is offered for a service only if they have a time for it here.** With **Use Agent+Service wise Item Rate** switched on in Settings, the appointment and the bill use this stylist's rate; otherwise the service's own item rate is used.

### **Week Day Shifts**

Enter the branch's **opening and closing time for each day of the week**. The diary uses these hours. **No appointment can start at or after the closing time, and a stylist is offered only if the service finishes by then.**

> **Example — setting up a hair colour.** Your salon offers *Hair Colour*, which takes 30 minutes to apply, 30 minutes to develop and 20 minutes to wash and dry. On **Define Service Stages**, pick *Hair Colour* and enter those three stages — the Total Time shows **01:20**. On **Stylist + Service Wise Time Slabs**, select the group *Senior Stylists*, click the time for *Hair Colour* and enter 30, 30 and 20 in the Service Stages window — 80 minutes. On **Week Day Shifts**, Monday to Saturday run 10:00 AM to 8:00 PM. Now, when a client books Hair Colour on a Monday, only your senior stylists are offered, the booking takes 80 minutes, and the latest start time offered still lets it finish by 8:00 PM.

The **Copy Agent + Service / Appointment Details** option copies one stylist's setup to others, which saves time when a new stylist joins.

## Step 4 — Settings

Open **Billing\Setup Appointments**, and in the menu double-click **Configuration › Settings**. The settings you should look at before you start:

| Setting | Why it matters |
| -------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------------- |
| **Agent Caption** | Your word for a stylist |
| **Service Group Level** | Which level of item group appears as Service Groups when booking |
| **Default Rate** | Which item rate prices a service — for example MRP |
| **Walk In Options › Default Prefix** | The prefix for walk-in job slips |
| **Walk In Options › Default Customer** | Who a walk-in is booked to when they are not a member — used only when **Confirm Customer Type** is ticked |
| **Default Customer Sex** | Service times and rates can differ for men and women. Choose *Prompt For Customer Sex* to be asked when a customer's sex is not recorded |
| **Allow Parallel Client Appointment** | Whether one client can have two services at the same time with different stylists |
| **Print Job Slip On Checkin** | Whether a job slip is offered for printing when a client checks in |

Every setting is explained in **Configuration**.

## Step 5 — Optional, depending on how you work

| If you… | Then set up |
| --------------------------------------------------------------------------------- | -------------------------------------------------------------------------------------------------------------------------------------------------------------------------------- |
| want the diary to show who is actually in today, using staff attendance | Tick **Use Employee Wise Attendance** in Settings, then link each stylist to their employee record with the **Agent-Employee Linking** button in Settings |
| want stylist photos in the diary | **Link Images** › Stylists |
| want a reason recorded when an appointment is cancelled | **Cancellation Reasons** |
| want to record before/after details of a client (skin type, hair length, a photo) | Define them in **Package Parameters** — they are set per package or per service, so they work without packages too — and tick *Show Parameter Values Before Checkin* in Settings |
| sell packages (for example *10 Hair Spas*) | **Package Payment Config**, then **Setup Package** |
| run group classes or courses | **Setup Package** (its Setup Batch tab), then the **Batch Manager** |
| print job slips or receipts | the print designs — see **Printing** (desktop) |

## Step 6 — Check it works

1. Open **Appointment Viewer**. You should see your stylists across the top and the branch's hours down the side.
2. Double-click a free time in a stylist's column, pick a customer and a service. The first service should go straight to the stylist you clicked, and its end time should match that stylist's time for the service.
3. Click **OK**, and the appointment appears in the diary.

If no stylist is found, check Step 3: the stylist needs a time for that service, and the service must finish inside the day's shift.

> **Example — a first booking.** It is Monday 11:00 AM. You double-click Anita's column at 12:00 PM, choose the customer *Riya Sharma*, then **Hair Care › Hair Colour**. It goes straight to Anita, 12:00 PM – 1:20 PM, ₹1,800 — the item rate of Hair Colour (with *Use Agent+Service wise Item Rate* off). Click **OK**: the appointment shows in Anita's column in light green (*Unconfirmed*).

## On the web

Steps 4–6 work the same way on the web and on a phone. Print designs are made on the desktop.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-learning-hub-tutorials-and-best-practices/billing/setup-appointments/getting-started.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
