# Time Slot Finder and Appointment Search

**Available on:** Desktop · Web · Phone

Two windows are used by several parts of Setup Appointments to pick a time or pick a booking. You don't open them from the menu — they open when a task needs them.

## Appointment Time Slot Finder

Finds **free times** for a service, across several days and stylists. It opens from:

* **Merge Existing Appointment** — to pick the time and stylist for the new group,
* **Detach Appointment** in a grouped appointment — to pick a new time for the member taken out,
* **Move** in Stylist Attendance — to move a service that clashes with a stylist's attendance.

The top of the window shows **Service Detail** (the service, its group, cost and the time it needs). **Client Detail** appears when there is one client, and **Current Appointment Detail** when you are moving an existing booking.

### **Date Time Criteria**

| Field                                       | What it does                                                                                                                                                                                           |
| ------------------------------------------- | ------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------ |
| **Start Search On** + **From** | The day and time to start searching. It starts from now — or, when you are moving a booking, from that booking's time |
| **End Search On** + **To** | The day and time to stop searching. Out of the box it is today, at the end of the branch's hours — change it to search further ahead |
| **No. of Slots** | How many free times to find for each stylist. It starts at **0**, which means no limit |
| **Filter Days** + **Sunday** … **Saturday** | Tick **Filter Days** and the weekdays you want; only those days are searched |
| **Filter Agent** | Tick it to choose **one stylist** from a list; only that stylist is searched, and the line beside it shows their name, phone and shift. Leave it unticked to search every stylist who does the service |

**From** applies to the first day only and **To** to the last day only; the days in between are searched across the branch's full working hours.

Click **Search**. **List of available time slot(s)** shows each free time with its **Date**, **Agent Name**, **Start Time**, **End Time** and **Weekday** — in date, stylist and start-time order, with the first one selected — and how many were found. Pick one and click **OK**, or double-click it.

* If the dates or times don't make sense you are told, for example *"Appointment start date cannot be greater than appointment end date!"* or *"Appointment start time cannot be greater than appointment end time!"*.
* Clicking **OK** without a time chosen gives *"Invalid time slot selection!"*.

If the client's sex is not recorded — or several clients are being merged — the **Default Customer Sex** from Configuration is used. If that setting is to ask, you are asked once when the window opens; if you cancel the question, it is asked again when you click **Search**.

> **Example — finding a Saturday slot.** A client can only come on a Saturday in the next two weeks. In the Time Slot Finder set **Start Search On** to today and **End Search On** two weeks ahead, tick **Filter Days** and **Saturday**, leave **Filter Agent** unticked, and click **Search**. The list shows the free Saturday times for every stylist who does the service — pick a morning one and click **OK**.

## Appointment Search

Finds **existing bookings**. It opens from:

* **Walk In**, when **Confirm Customer Type** is ticked and you choose **Appointed Customer** — to bring that client's booking in,
* **Attach Appointment** on a job slip,
* **Attach Appointment** in a grouped appointment — to add bookings to the group,
* **Merge Existing Appointment** — to choose the bookings to merge.

The bookings are listed as soon as the window opens. Typing a **Customer Name** narrows the list as you type. For **Membership Series**, **Membership No(s).**, **Mobile No.**, **Date** (tick it and pick the day) and **Show Single Service Appointments**, click **Search**. **Customer Selection** and **Agent Selection** let you pick several from a list; **Service Selection** picks one service. When opened from Merge or a grouped appointment, **Show Single Service Appointments** is ticked and cannot be changed.

The upper list shows the bookings — **Appointment ID**, **Customer Name**, **Membership ID** and **Mobile No.** — with a count underneath, and the lower list the services of the one selected: **Agent Name**, **Service Name**, **Start Time**, **End Time**, **Cost** and **Status**. When several bookings can be chosen (for Merge or a group), tick them. Click **OK**.

* For Merge or a grouped appointment you can tick only **one booking per client** — otherwise *"Unique customer appointments required."*.
* Clicking **OK** with nothing chosen gives *"No valid appointment selected! Please select a appointment before continue."*.

**Which bookings are listed:** only those not already in a group, and only those at the status chosen in **Filter Status** in Configuration (*Confirmed* unless changed). With **Show Only Today's Appointments** ticked, only today's are listed. If a booking you expect is missing, check its status and those two settings.

> Not to be confused with **Search Appointment** on the Appointment Viewer's toolbar, which jumps to a client's next booking in the diary.

## On the web

Both windows work the same way on the web and open full screen on a phone. Each result is a **card** — tap to pick it, tap again to take it — and some labels are shorter (for example *Slots per stylist (0 = all)*). In Appointment Search, the filters other than the name are under **More filters**.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-learning-hub-tutorials-and-best-practices/billing/setup-appointments/appointments/time-slot-finder-and-appointment-search.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
