# Appointment Reminders

**Available on:** Desktop · Web · Phone

While Setup Appointments is open, it keeps an eye on **today's appointments** and pops up the **Appointment Reminder** window when clients are due — so nobody is forgotten at the front desk.

## When an appointment shows

Only **today's** appointments are reminded:

* an **Unconfirmed** appointment from **20 minutes before** its start time,
* a **Confirmed** appointment from its **start time**.

An appointment stays on the list for the rest of the day until it is sent to the **Lobby**, checked in, completed or cancelled. If you confirm an appointment before it starts, it leaves the list and comes back at its start time. When **Use For Current Branch Only** is ticked in Configuration, only your branch's appointments are shown.

On the desktop the check runs when Setup Appointments opens and then every **15 minutes**.

## The Appointment Reminder window

**Appointments due** lists each client with their **Name** and **Time**. The client's line is **green** until the start time and **purple** from then on.

The first client is selected when the window opens. Click a client to see their details:

* **Customer Details** — *Name* (or the mobile number if there is no name), *Phone* and *E-mail*.
* **Appointment Details** — *From* and *To* (in red once the start time has passed, green before), *Service* and *Stylist*.

To act on several clients at once, select them all — on the desktop hold **Ctrl** or **Shift** — then click a button.

### **The buttons**

| Button      | What it does                                                                                                               |
| ----------- | -------------------------------------------------------------------------------------------------------------------------- |
| **Confirm** | Sets the selected appointments to **Confirmed** after you answer **Yes** to *"Are you sure you want to update status"* |
| **Lobby** | Sets them to **Lobby** — the client has arrived — after the same question |
| **Cancel** | Asks for the cancellation reason, then *"Are you sure you want to cancel this Appointment"*. Answer **Yes** to cancel them |
| **Close** | Closes the window. On the desktop it opens again at the next check if appointments are still due |

When the list is empty, the window closes by itself.

> **Example — a busy morning.** At 10:40 AM the reminder pops up with two names: *Neha* at 11:00 (green — Unconfirmed, starting in 20 minutes) and *Arjun* at 10:30 (purple — Confirmed, already started). You phone Neha and she is on her way: select her, click **Confirm** and answer **Yes**. Arjun has just walked in: select him, click **Lobby** and answer **Yes**. Both drop off the list and the window closes. Neha comes back on the list, in purple, from 11:00 — send her to the **Lobby** when she arrives.

## On the web

* The check runs when the page opens and then every **5 minutes**.
* When appointments are due, a **Reminders** button with the number due appears at the top of the page — tap it to open the reminder.
* The window opens by itself only when **new** appointments become due, so it does not keep interrupting you. If another window is open, it waits until you close that one.
* To act on several clients, **tick** their boxes; tap a client to see their details. The time and a coloured bar on the left of each card show green or purple.
* After **Close**, open the reminder again with the **Reminders** button.
* On a phone the reminder opens full screen.

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation by asking a question.

Perform an HTTP GET request on the following URL with the `ask` and `goal` query parameters:

```
GET https://kb.logicerp.com/logic-erp-learning-hub-tutorials-and-best-practices/billing/setup-appointments/appointments/appointment-reminders.md?ask=<question>&goal=<user_goal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is what the user is ultimately trying to achieve, the reason they need the answer. Sharing it helps GitBook give you a better, more relevant answer. A goal is most helpful when it describes the outcome the user wants rather than restating the question. For example, with `ask=how do I create an API token`, a goal like `automate deployments from our CI pipeline` lets GitBook tailor the answer to that use case.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
